1. Who We Are
This website is operated by G-Matrix Systems (Pty) Ltd, registration number 2013/126413/07, VAT 4420264600, registered at Building 2, Ground Floor, Centurion Gate Business Park, Akkerboom Street, Zwartkop, Centurion, 0157, South Africa. In this policy, "G-Matrix", "we", "us", and "our" refer to G-Matrix Systems (Pty) Ltd.
2. Information We Collect
When you contact us through our website form, we collect the information you provide voluntarily: name, email address, phone number (optional), the content of your message, and the type of enquiry you select.
We also automatically collect limited technical data via standard web-server logs — see Section 4 (Server Logs & Technical Data) below. We do not run analytics, advertising, or behavioural tracking on this website.
3. Cookies
We do not set any first-party cookies on this website — no analytics, marketing, or tracking cookies. The site does not require cookies to function.
A small number of third-party services we embed may set their own cookies or otherwise log the request when their content loads:
- Google Fonts (Nunito typeface) — the font files are loaded from Google's CDN; Google may log the request.
- Spline (3D scene on the Engineering page) — the scene is loaded from
prod.spline.design; Spline may set its own cookies. - Formspree (contact form processor) — only contacted when you submit the form; Formspree may set its own cookies during that transaction.
These third-party cookies (if any) are governed by their providers' privacy policies, not by ours. You can block third-party cookies entirely in your browser settings without breaking the site.
4. Server Logs & Technical Data
When you visit this website, our web server automatically records technical information that is standard for any website on the internet:
- Your IP address (which can identify your approximate city or region)
- The page you requested and the time of the request
- Your browser type and operating system (the "user agent")
- The referring page, if any
We use these logs only for legitimate operational purposes: troubleshooting, security monitoring (for example, detecting attempted intrusions), and basic capacity planning. We do not use server logs for marketing, profiling, or behavioural tracking.
We do not use the browser's geolocation API, GPS, or any service that requests your precise location. We do not run GeoIP lookups, analytics platforms, or third-party trackers that would build a profile of you.
Server logs are retained for approximately 30 days for operational and security purposes, after which they are rotated out.
5. How We Use Your Information
We use the information you provide solely to:
- Respond to your enquiry and provide the information you requested.
- Send you product specifications, datasheets, or quotations on request.
- Support and maintain our business relationship with you.
We do not sell, rent, or trade your personal information with third parties for marketing purposes.
6. Lawful Basis for Processing
Under POPIA (Section 11) and the GDPR (Article 6), we process your personal information on the lawful basis of consent (you voluntarily submitted the contact form) and our legitimate interests in responding to business enquiries and operating a secure website. You may withdraw consent at any time by emailing us (see Section 11).
7. Data Storage & Processors
Contact-form submissions are processed by Formspree (Formspree Inc., USA) and forwarded to our business email inbox. Formspree acts as a data processor on our behalf and applies its own security and retention controls — see Formspree's privacy policy. We retain your enquiry data only for as long as necessary to handle the enquiry and meet legal record-keeping obligations.
8. Cross-Border Transfers
Because Formspree is operated from the United States, your personal information may be transferred outside South Africa and the EU/UK. We rely on Formspree's published safeguards (including its contractual data-processing terms) to ensure your information remains protected at a level comparable to that required by POPIA and the GDPR.
9. Your Rights
Under POPIA (Chapter 3) and, if you are located in the EU or UK, under the GDPR (Chapter 3), you have the right to:
- Access — request a copy of the personal information we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.
- Erasure — ask us to delete your personal information ("right to be forgotten").
- Objection — object to our processing of your personal information.
- Restriction — ask us to limit how we process your data.
- Portability — request your data in a structured, machine-readable format (GDPR only).
- Withdraw consent at any time, where processing is based on consent.
- Lodge a complaint — with the South African Information Regulator (inforegulator.org.za) or, if you are in the EU/UK, your local supervisory authority.

10. RAMAC Portal & Cerebro App
The RAMAC Portal and Cerebro mobile application have separate privacy notices governing device data, location data, and user account information. Those notices are available within the platform itself and supersede this policy where the platform is concerned.
